Owl Solutions Pte Ltd (UEN 201731675K) (“Owl Solutions”, “we”, “us”) respects your privacy. This notice explains what personal data we collect through this website and in the course of our work, why we collect it, and the choices available to you. It is written to reflect our obligations under Singapore’s Personal Data Protection Act 2012 (PDPA).

1. What we collect

Information you give us

When you submit the enquiry form on this website, or contact us by email or telephone, we collect the details you choose to provide. These typically include:

• Your name and the organisation you represent
• Your email address and telephone number
• The service you are interested in and the project brief you write

Please do not include passwords, access credentials, network diagrams containing live keys, or personal data about third parties in an enquiry form. If a project requires that information, we will agree secure handling terms with you first.

Information collected automatically

Our web server records standard technical information when a page is requested, including IP address, browser type, referring page and timestamp. This is used for security, troubleshooting and aggregate traffic measurement.

Information collected during projects

Where we implement, migrate or integrate systems for a client, we may be given access to data held in those systems, which can include personal data relating to your employees or customers. In that context Owl Solutions acts as a data intermediary processing data on your instructions, under the terms of the relevant project agreement.

2. Why we use it

• To respond to your enquiry and prepare proposals, quotations or feasibility assessments
• To deliver, support and maintain systems we have been engaged to provide
• To manage our contractual and commercial relationship with you, including invoicing
• To meet legal, regulatory, audit and certification obligations
• To maintain the security and reliability of our own systems

We do not sell personal data, and we do not use enquiry details for unrelated marketing without your consent.

3. Consent and withdrawal

By submitting an enquiry you consent to our using the details provided to respond to you. You may withdraw consent at any time by writing to sales@owlsg.com. We will act on a withdrawal request within a reasonable period and will tell you if doing so prevents us from continuing to provide a service you have engaged us for. Withdrawal does not affect processing carried out before the request, or retention we are legally required to maintain.

4. Disclosure to others

We may disclose personal data to:

• Employees and engineers who need it to deliver the work
• Subcontractors, suppliers and manufacturers engaged on your project, limited to what the task requires
• Service providers supporting our own operations, such as hosting, email and accounting providers
• Professional advisers, auditors and certification bodies
• Government agencies, regulators or law enforcement where required by law

Where a supplier or hosting provider is located outside Singapore, we take reasonable steps to ensure a standard of protection comparable to that required under the PDPA.

5. Protection

We apply administrative, physical and technical measures appropriate to the sensitivity of the data. These include access limited to those who need it, encrypted storage of system credentials, transport encryption for our web services, and masking of production data in test environments where practical. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

6. Retention

We retain enquiry records for as long as needed to respond and to maintain a record of our commercial dealings, and project records for the period required by our contractual, warranty, accounting and certification obligations. When personal data is no longer required for any legal or business purpose, we take steps to remove or anonymise it.

7. Cookies

This website does not set advertising or tracking cookies. If analytics or embedded third-party content is introduced in future, this notice will be updated before those services are enabled.

8. Your rights

Subject to the exceptions in the PDPA, you may request access to the personal data we hold about you and information about how it has been used or disclosed in the past year, and you may request correction of data that is inaccurate or incomplete. Write to our Data Protection Officer using the details below. We may need to verify your identity before acting, and a reasonable fee may apply to an access request.
